How to use Microsoft Visio

​1. Open the software to find templates for many chart types.

A template is an unfinished example diagram used as a starting point. Visio templates come with shapes and tools for specific diagram types, arranged around a blank page where you can drag shapes and connect them into your drawing.

                         Open template】

Click on the template type you want, or click on Basic Block Diagram to start from scratch. A small window will open with some information and the option to use metric or US units. Click the Create button to open the template.

                                             Above the blank drawing page is the Microsoft Office Ribbon, which contains the commands and tools for drawing diagrams. If you only see the tab names and no buttons, click a tab name to temporarily open the ribbon at that tab.

Tip: To keep the ribbon open at all times, pin the ribbon icon by clicking the small pin icon in the upper right corner.

                         Shapes window】

On the left is the Shape window. It contains stencils with shapes (in this diagram, flowchart shapes).

                         Mold】–A mold is a container for storing related shapes. Templates often have multiple dies to help organize shapes into categories. The stencil's title bar is located near the top of the Shape window. Click the stencil title bar to see the shapes it contains.

                         shapeshape】 – Almost all objects in templates used in diagrams are shapes, including connectors and pages. Shapes are more than just icons or pictures as they have features that help you customize your diagrams.

                                                                                                                              Above the open stencil, below the stencil title bar, there be a tab called “More Shapes”. Clicking this tab will open a menu of options to find more shapes that can be used in your diagram.

                         my shape-】If you download or create custom stencils and save them in the "My Shapes" folder, these stencils will automatically appear in this submenu. Visio will create a "My Shapes" folder inside the "Documents" folder.

Business, Engineering, Flowchart, and Other Categories – When you need to include a shape that’s not in the template you started with, browse these categories to find stencils in other templates.

Other Visio Schemes – This stencil contains specific shapes that other stencils do not include, such as symbols, icons, connectors, callouts, engineering and construction tools, or titles. Choose any number of shapes there to add to your stencil list.

Open Mold, New Mold - "Open" allows you to browse for mold files (.vss) on your computer or network that can be added to the diagram. "New" will open an empty mold and you can add shapes by dragging them and dropping them onto the new mold. Save the custom stencil by right-clicking the stencil title bar and clicking Save.

Show document stencil – This stencil contains all shapes in the current document, as well as all shapes that have been dragged and dropped into the document and deleted from the page.

“Quick Shapes” is the topmost title bar. Each mold has its own set of quick shapes, which are the most commonly used shapes in that mold. The Quick Shapes stencil brings together Quick Shapes from all the stencils you use, allowing you to find in one place the most common shapes for the type of chart you create.

​ ​ If you can’t find the shape you want, try searching. Click Search at the top of the Shape window and type a keyword.

​2. Create simple charts

​ ​ Drag a shape from the Shapes window onto the page. Place your mouse pointer over the shape until four arrow button images appear around each side. Here are some auto-connect arrows that allow you to automatically connect shapes in a variety of ways.

Hover your mouse pointer over an arrow to display a floating toolbar that holds the first four shapes in the Quick Shapes area.

​ ​ Move the mouse pointer over each shape to see a preview of that shape in the chart. Click the desired shape and it will appear with a connecting line to the first shape.

​ ​ Drag the shape from the Shapes window and hover it over the shape on the page until arrows appear, then place the shape on top of one of the arrows.

To connect two shapes, drag one shape to the top of the other shape’s auto-connect arrow.

​ ​ Place a shape on the auto-connect arrow, and a new shape will appear in the diagram, connected to another shape.

     Hover the pointer over a shape until arrows appear, then grab an arrow, drag it over the shapes you want to connect, and place it in the middle of the second shape.

Note: Some templates provide additional convenience methods for adding and connecting shapes. For example, the organizational chart template allows you to place a subordinate's shape on top of a manager's shape, automatically forming the reporting structure for that shape.

​​Click the shape once and start typing. When you've finished typing, press the Esc key or click on a blank area of ​​the page.

                         Move text on a shape】

Click Home > Tools > Text Block text block, go to the shape with the text, and drag the text around the shape. Once you've finished moving the text, go back and select the object by clicking Home > Tools > Pointer Tool.

                         Change fonts, size and other formatting】

          Select the shape with text. Click Home and use the tools in the Font and Paragraph groups to format the text.

                         Make the chart look better】

Click Design > Background > Background. Click on a background design.

Now look at the bottom of Visio, directly below the drawing page. There are two tabs: "Page-1" and "Background-1". "Page-1" is the page with the shape, and "Background-1" is the background page just added. Click Background-1 to view only the background page, then click Page-1 to return to the diagram.

Click Design > Background > Borders and Titles. Click one of the options below to add it to the chart.

You can see that the borders and title have now been added to the background page, so if you want to add a title, click on the tab for the background page. Now click "Title" once and start typing. The title changes to the new text. When finished, click on the "Page-1" tab to return to the diagram.

                         Add colors and other formatting】

On the Design tab, in the Themes group, slowly move the pointer over the different themes. Each theme will add different colors and effects to the chart. Click the theme you want to apply.

Click File > Save. Take a look at the options and choose a location to save the file.

In the Save As dialog box, look for the Save as type list just below the File name box, and click the down arrow to open the list. There are multiple chart formats that can be saved, including many image formats and PDF formats.

Click on the file and try the other tabs in the sidebar, such as Share and Export, to see the available options.
